- Clean mud from tracks, tyres, buckets, blades, slashers, and implements so the truck is not carrying avoidable weight or slippery material
- Remove or secure toolboxes, loose guards, drawbars, pins, buckets, spare wheels, and small attachments
- Fold mirrors, beacons, ROPS, augers, mower decks, or guards only where the manufacturer allows it
- Photograph the machine beside a tape measure or known reference point if the width or height is uncertain

- Leave enough fuel for loading and unloading, but avoid filling tanks unnecessarily before transport

The pickup and delivery site matter as much as the machine itself. A flatbed needs room to approach, park, load, turn around, and leave without blocking unsafe ground or tight access.
- Send photos of driveways, gates, loading pads, sheds, yards, street frontage, and any low branches or overhead wires
- Confirm gate width, ground firmness, slope, boggy areas, livestock, locked yards, and site induction requirements
- Make sure someone is available with keys, attachment tools, and permission to move the machine
- If loading from a dealer, auction yard, farm, civil site, or roadside address, confirm the exact contact and release instructions
